Role Overview:
We are seeking a highly organized and detail-oriented Inventory and Supply Manager to oversee the inventory operations at our HVAC parts store. The ideal candidate will be responsible for managing stock levels, overseeing inventory control processes, and ensuring the store is always adequately stocked with essential parts and materials. The Inventory and Supply Manager will collaborate with vendors, monitor trends, and implement efficient strategies to optimize supply chain operations.

 

Responsibilities:

The following is a list of the essential duties and responsibilities of this role. The tasks and time spent performing each task may vary as business needs require. Olympic International maintains the right to modify job duties and responsibilities at its discretion.  The range of specific responsibilities will include but not be limited to the following:
Inventory Management:

  • Maintain accurate and up-to-date inventory records using inventory management software.
  • Monitor stock levels regularly and reorder products as needed to prevent stock outs.
  • Perform regular physical inventory counts and reconcile discrepancies between physical stock and system data.
  • Organize and categorize inventory to facilitate easy retrieval and efficient storage.

Supply Chain Coordination:

  • Establish and maintain relationships with suppliers and vendors to ensure the timely delivery of parts and materials.
  • Evaluate supplier performance and negotiate pricing, terms, and delivery schedules.
  • Track and manage incoming orders, deliveries, and returns to ensure accurate and timely processing.
  • Ensure the store receives the correct items in the right quantities, meeting all quality standards.

Stock Optimization:

  • Analyze sales trends and historical data to predict demand and optimize inventory levels.
  • Implement inventory control techniques to minimize waste, obsolescence, and loss.
  • Ensure proper rotation of stock (FIFO) and manage the shelf life of products where applicable.

Team Collaboration and Training:

  • Work closely with store staff, inside and outside sales, warehouse staff, service department and warranty leader ensuring optimized support and collaboration
  • Train and guide team members on inventory procedures and best practices.
  • Coordinate with sales and service teams to ensure high-demand parts are always in stock.

Reporting and Documentation:

  • Prepare regular reports on stock levels, order status, and inventory performance for upper management.
  • Maintain records of all inventory transactions, including purchases, returns, and damages.
  • Monitor and track inventory budget to ensure cost control.

Problem-Solving and Continuous Improvement:

  • Address any discrepancies, inventory shortages, or stockouts by implementing corrective actions.
  • Recommend process improvements and implement strategies to streamline inventory management operations.
  • Perform additional responsibilities as assigned.

Skills and Competencies:

Required
  • Strong organizational and time-management skills.
  • Proficiency in use of Microsoft Office tools (excel, word)
  • Basic knowledge of HVAC parts and products is highly preferred.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Analytical mindset with attention to detail and problem-solving abilities.

Educational Requirements:

Education, Licenses and/or Certification, Experience Required
  • Post secondary education or equivalent experience in Business, Supply Chain Management, or related field preferred.
  • At least 3 years of experience in inventory management, preferably in the HVAC, parts, or retail industry.
  • Certification in APICs or formal courses in inventory management is highly desired.
